Process and Policies


Step-by-Step Application Process

1.

Please read the entire contract and fine print before signing and sending in the completed application, non-refundable $35 fee (payable to West Valley College), and Certificate of General Liability Insurance.

NOTE:In order to process the application, all three items must be included in the submittal.

2.

Once the application, fee and insurance are received, the application will then be forwarded to the appropriate college department. The department  will review the application request and determine if West Valley College can meet the requirements of your event. They will then send the approval/denial back to the Facility Rental office.

3.

An email confirmation will be sent to you confirming whether or not West Valley College will be able to accommodate your request. If so, an estimate invoice will be attached to the email for your review and acceptance.

  • This initial invoice is our best estimate for the costs of your particular event, including but not limited to facility rental fees, custodial labor, supervisor labor, grounds labor, equipment, parking and police labor.

  • The initial invoice is not the final invoice. West Valley College reserves the right to invoice the renter if additional services (such as custodial), fees or damages have been incurred.

4.

Upon your email acceptance of the estimated charges, the application package will be forwarded to the Vice President of Administrative Services for review and approval. Upon his approval, you will be notified by email.

5.

Payment must be received 2 weeks prior to facility use.

6.

The final invoice will be sent approximately 30 days following your event.
Balance is due upon receipt of the Final Invoice.
