Access Cranium Café via the West Valley College Website
  1. From the West Valley College homepage, select the option for Online Services.
  2. From the Online Services webpage, select a Department to connect with. This will filter and display virtual business cards for individuals within that Department.
  3. Locate the individual you wish to communicate with and click any of the active buttons (Knock on Door, Send Offline Message, Schedule Meeting) on the virtual business card.
  4. Scroll through to read and accept the Informed Consent Statement.
  5. Students with a school email should select the Current Students & Staff button. This prompts users to enter their @mywvm.wvm.edu email and associated password. For instructions on accessing your @mywvm.wvm.edu email and password see Get Started Guide.
  6. Users without a school email should select the Prospective Student button. This option prompts users to complete the guest registration process and create a new account.

Access Cranium Café via the Portal
  1. From the West Valley College homepage, select WVC Portal in the top navigation bar.
  2. From the West Valley-Mission Portal webpage, select the Sign in to My Portal button if you know your username and password. Select the Start here button if this is your first-time logging in and you need help with your username and password.
  3. Once inside the West Valley College Student Portal, click the icon for Cranium Café under the Features section.
  4. Scroll through to read and accept the Informed Consent Statement.
  5. Students with a school email should select the Current Students & Staff button. Depending on the browser setting, users may be prompted to enter their @mywvm.wvm.edu email and associated password.
  6. Users without a school email should select the Prospective Student button. This option prompts users to complete the guest registration process and create a new account.
  7. Users will be taken to the Cranium Café Student Support Directory.

How to Chat/Instant Message in Cranium Café
  1. Look for individuals with an Online status on their virtual business card. Click the button labeled Knock on Door, Instant Chat or similar to initiate a chat session.
  2. If you have not already done so, the system will prompt you to read and accept the Informed Consent Statement.
  3. In you have not already done so, the system will prompt you to login. See Cranium Café Student Guides for detailed login instructions.
  4. A chat box will appear and users can type in the message box and click the Send button.
  5. If you receive an Enter Meeting button in the message box, click the button to enter Cranium Café -where you can continue to chat or begin a video meeting. Note video meetings are best conducted on a laptop or desktop computer with a camera and microphone and Chrome (preferred), Edge or Firefox as the internet browser.
  6. Clicking the Enter Meeting button may prompt users to select a reason that best describes the purpose for meeting.
  7. You will automatically enter the Cranium Cafe lobby until the meeting is available to begin.
  8. The Cranium Cafe meeting space has options to check audio and webcam settings and an option to continue a chat session. Click the Exit Meeting button when your meeting has concluded.

Schedule An Appointment
  1. From the Online Services webpage, select the Department you want to schedule an appointment with.
  2. Click the Schedule Meeting button on one of the virtual business cards.
  3. If you have not already done so, the system will prompt you to read and accept the Informed Consent Statement.
  4. In you have not already done so, the system will prompt you to login. See Cranium Café Student Guides for detailed login instructions.
  5. Select the week you wish to view available appointments by clicking the Last Week and Next Week buttons under Select a Meeting Date. Note most departments allow appointments to be scheduled 2 weeks out.
  6. If Filter by Moderator appears, select a specific individual to schedule an appointment with or select All Moderators to see all available appointment times. If this does not appear as an option, you will see all available appointment times for the department.
  7. Select from the list of reasons that best describes the purpose for this appointment.
  8. Select a meeting location. Note video meetings are best conducted on a laptop or desktop computer with a camera and microphone and Chrome (preferred), Edge or Firefox as the internet browser.
  9. Select from one of the available meeting dates.
  10. Select from one of the available appointment times.
  11. Complete the appointment intake form and select the Schedule Appointment button.
  12. You will receive an email confirming the appointment and providing details on the next steps.

How to Join a Scheduled Appointment via Email Confirmation
  1. Navigate to the email confirmation that was generated when the appointment was scheduled. Look for an email with a subject line similar to “Video Meeting - [ConexED] Appointment Confirmation”
  2. In the body of the email, find the join meeting link.
    Sample meeting link: https://westvalley.craniumcafe.com/wvcares/cafe?m=MTcxNjI3OC0xMTk4MzE5
  3. Click on the join meeting link or copy and paste it into a browser.
    Note: video meetings are best conducted on a laptop or desktop computer with a camera and microphone and Chrome (preferred), Edge or Firefox as the internet browser. Test your webcam and audio prior to the meeting.
  4. If you have not already done so, the system may prompt you to read and accept the Informed Consent Statement when you click the join meeting link.
  5. In you have not already done so, the system may prompt you to login.
  6. Select a reason that best describes the purpose for meeting.
  7. You will automatically wait in a lobby space until the video meeting is available to begin.
  8. The video meeting space has options to check audio and webcam settings and an option to continue a chat session.  Click the Exit Meeting button when your meeting has concluded.

How to Join an Appointment via the WVC Portal
  1. From the West Valley College homepage, select WVC Portal in the top navigation bar.
  2. From the My Portal page select the Sign in button if you know your username and password. Select the Start here button if this is your first-time logging in and you need help with your user name and password.
  3. To join a Cranium Café video appointment, select Cranium Café and My Café Appointments from the left navigation.
  4. Upcoming Meetings will be displayed. To join a meeting, copy the meeting link into a new browser tab or click the Join Café button (note the button displays 5 minutes before a meeting is scheduled to begin).

Screen Share

Chrome users need to complete a one-time download for the initial setup of ConexED share screen. Note this screen share extension is unique to Chrome and does not need to be installed for other browsers (Firefox or Edge).


MacOS Catalina (10.15) or Later

Users running MacOS Catalina (10.15) or a later should be prompted to update permissions when trying to screen share for the first time.
