Academic and Progress Notice, Pause and Readmission

Academic and Progress Notice, Pause, and Readmission policies and procedures are designed to assist students in making progress toward their academic, career and personal goals. The college’s minimum standards of academic progress require the student to maintain an overall grade point average of 2.00 and successful completion of at least fifty percent of the overall credits in which the student has enrolled. 
 
The standards for academic progress may differ for students who receive financial aid and/or VA educational benefits. Continuing and returning students who have been on progress or academic notice for two consecutive semesters lose their priority registration and will be placed on Academic Pause. 
 
Determination of whether a student has met the minimum standards for academic progress is based on: 

  • All District units in which the student has been enrolled will be utilized in determining the applicability of the policy on academic notice and pause. 
  • Coursework completed at previously attended institutions that has undergone a transcript evaluation is included in the official transcript for West Valley-Mission Community College District and thereby considered for academic progress standard calculations. 

Academic and Progress Notice 

A student shall be placed on academic or progress notice if their academic record of performance at West Valley and/or Mission College(s), including evaluated coursework completed at previously attended institutions through the transcript evaluation process, meets any of the following standards. 
 
Students on any Academic or Progress Notice status will be notified at the end of primary terms which include fall and spring. Academic and Progress Notice statuses will appear on the student’s semester grade report and the transcript of academic work. Students on notice are strongly advised to promptly consult their counselor regarding the best and most appropriate course of action to be followed to be removed from notice. 

Academic Notice 

Academic notice is a status that is assigned when the overall grade point average is below 2.0. The grade point average is calculated for all units in which the student has been officially enrolled and received letter grades of A, B, C, D and F.  
 
Academic Notice 1: A student who has attempted a minimum of 12 semester grade units in the WVMCCD, including transfer articulated credit from previous institutions, shall be placed on Academic Notice 1 when the institutional GPA is below 2.00. The institutional GPA includes the calculated GPA from previously articulated credit from a transcript evaluation. Students on Academic Notice 1 do not lose priority registration status. 
 
Academic Notice 2: Students on Academic Notice 1 will be assigned a status of Academic Notice 2 if the overall GPA remains below 2.00 at the completion of the Academic Notice 1 semester. Students on Academic Notice 2, lose their priority registration status for groups 1, 2 and 3. 
 
Subject to Pause: Students on Academic Notice 2 will move to Subject to Dismissal status at the end of the Academic Notice 2 semester, if the overall GPA remains below 2.00. Students who are Subject to Dismissal lose any priority registration status for groups 1, 2 and 3. 

Progress Notice  

Progress notice is a status that is assigned when the overall number of completed units is less than 50%. The progress rate is calculated by dividing the number of earned units by the number of units attempted to obtain a percentage.  A student who has enrolled in at least 12 cumulative semester units, at West Valley and/or Mission College(s), with a progress rate of less than 50% is assigned a progress notice status as follows. 
 
Progress Notice 1: A student may be on progress notice after the first semester when their progress rate is less than 50%. Students on Progress Notice 1 receive priority registration status. 
 
Progress Notice 2: If a student is still below the 50% threshold after the Progress Notice 1 semester, they will be placed on Progress Notice 2 status. Students on Progress Notice 2 lose their priority registration status for groups 1, 2 and 3. 
 
Subject to Pause: If at the end of the third consecutive semester on progress notice 2, a student will be placed on Subject to Pause status. Students who are Subject to Dismissal Pause lose any priority registration status for groups 1, 2 and 3. 

Academic or Progress Enrollment Pause 

A student whose academic or progress performance at West Valley and/or Mission College(s), falls under one or more of the criteria listed below shall be assigned academic or progress dismissal pause from the college:  

  • A cumulative grade point average of less than 2.00 upon completion of ‘Subject to Pause Status’. 
  • A student whose total percentage of W, I, NP, or NC grades reaches or exceeds fifty percent (50%) of the total units attempted for three consecutive semesters progress pause. 

Notification of academic disqualification pause status will appear on the student’s end-of-semester grade report and transcript. Students will no longer be permitted to register for classes unless they successfully petition for readmission.  

Readmission 

Readmission refers to students who must re-apply to the college after being absent from enrollment for two primary terms (Fall or Spring). Students on pause who are out for one term do not need to reapply.  Students on pause who do not attend for two consecutive primary terms will be required to reapply.   

Academic Pause 

A student on Academic Pause may obtain readmission to West Valley and/or Mission College(s) by one of the following: 

  • Meeting with a West Valley and/or Mission College counselor to complete a Student Petition for Readmission, which is forwarded to the Student Petitions Committee for consideration. If approved for readmission, the Student Petitions Committee will recommend a maximum number of units for the term. 
  • A student may elect to take a one semester leave. Upon return from an absence of at least one semester, the student would be eligible for reinstatement and would not need to petition for readmission. 

Notification of Academic and Progress Notice 

Each student is entitled to be notified of his/her/their academic difficulty and the availability of college support services to respond to the academic difficulty before the student is placed on Academic Pause.  Notification will consist, at a minimum, of the following:  At the end of the semester in which the student’s grade point average falls below 2.0 in all units attempted, a notification shall be sent to the student informing him/her/them that he/she/they is on academic and/or progress notice.    

Notice Letter 

The letter notifying the student of their status will cover, at a minimum, the significance of being on academic and/or progress notice and description of the services available. 
  
A student who is on academic notice and earns a semester grade point average of 2.0 or better shall not be placed on academic pause if this minimum semester grade point average is maintained. 
  
A student on progress notice probation because of an excess of units for which entries of “W,” “I,” and “NP” are recorded shall be removed from a notice status when the percentage of units in this category drops below 50%. 

Academic Notice, Dismissal, Readmission Data Reporting 

The Chancellor shall develop and provide to the Board for annual review a report of the number of students who were placed on notice, pause, and reinstated.  This report must disaggregate the students by race, age, gender, or any other characteristic identified by the Board.
